IN BRIEF
The short answer
Mark every genuine chapter opening with one consistent Word heading style — usually Heading 1. Use Heading 2 only for sections inside a chapter.
Do not rely on visual imitation such as larger type, bold text, blank lines or page breaks. Those change appearance but do not give an importer an unambiguous meaning.
STEP BY STEP
Prepare your DOCX in six steps
Work on a copy of your original file. You can then improve structure without putting the draft at risk.
Identify real chapter openings
Mark only headings that should form their own chapter level in the finished book. A dedication, epigraph or acknowledgements can be a separate book component without automatically sharing the same level as narrative chapters.
- Choose chapter boundaries deliberately
- Review front and back matter separately
- Do not turn an ordinary paragraph into a chapter by accident
Use Heading 1, not manual styling
Select each chapter title and apply Word's Heading 1 style. Appearance and meaning stay separate: you can redesign the style centrally later without losing document structure.
- All main chapters use one level
- Bold and font size are not substitutes
- Change the style centrally rather than each title
Build a logical hierarchy
Sections inside a chapter use Heading 2, with Heading 3 below if genuinely needed. Do not skip levels merely because another default style looks more attractive.
- Heading 2 sits below Heading 1
- Levels describe meaning, not appearance
- Avoid unnecessarily deep hierarchies in narrative work
Verify the Word Navigation pane
Open the Navigation pane. Every expected chapter should appear in the correct order and hierarchy. If a title is missing or body text appears, correct the style before import.
- Every expected chapter is visible
- Order matches the manuscript
- No ordinary paragraphs appear in the outline
Use page breaks sparingly
A page break may make the next title start on a new page, but it does not define a heading. Runs of blank paragraphs, tabs and repeated returns are not durable book structure.
- One deliberate break before a chapter
- No chains of blank lines
- No manual page numbers in body text
Review the import preview before accepting
Even a well-structured DOCX can contain edge cases. After upload, inspect detected chapters, order and opening text before the structure is accepted into your book project.
- Chapter count is plausible
- Titles and text are paired correctly
- Keep the original until review is complete
